Lindamood I/T SMS Alerting Privacy Policy

Overview and scope

Lindamood Inc ("Lindamood," "we," "us") operates an internal SMS Alerting system (the "Program") managed by its Information Technology (I/T) Department. The Program sends text messages to enrolled Lindamood employees, contractors and designated on-call staff about system outages, security incidents, maintenance windows, on-call escalations and other operational I/T matters.

This Privacy Policy explains what information the Program collects, how it is used and protected, and the choices participants have. It applies only to the SMS Alerting Program, not to other Lindamood systems or services. The Program is not used for marketing or promotional messages.

Information we collect

We collect only what is needed to deliver alerts to the right people:

  • Contact information: name, mobile phone number, and Lindamood employee or contractor ID.

  • Role information: department, job title, on-call group and alert categories subscribed to.

  • Opt-in records: the date, time and method of enrollment, and the consent language shown at enrollment.

  • Message records: delivery status, timestamps, message content and replies (such as STOP, HELP or acknowledgments).

  • Carrier information: wireless carrier name, as returned by our SMS provider for delivery purposes.

How we use information

Information collected through the Program is used only to:

  • Send I/T operational alerts, incident notifications and on-call escalations.

  • Route alerts to the correct people based on role and on-call schedule.

  • Record opt-in consent and honor opt-out requests.

  • Troubleshoot delivery problems and maintain an audit trail of incident communications.

  • Meet legal, regulatory and wireless carrier compliance requirements.

Opt-in, consent and opt-out

​

Opt-in. Participation is voluntary. Users enroll by providing their mobile number through the Lindamood I/T enrollment form or by request to the I/T Department, and by agreeing to receive Program messages. Consent to receive alerts is not a condition of employment or of any purchase.

Message frequency. Message frequency varies with system events and on-call schedules. Message and data rates may apply.

​

Opt-out. Reply STOP to any Program message to unsubscribe. You will receive one confirmation message and no further alerts unless you re-enroll. Reply HELP for assistance, or contact the I/T Department directly.

Carriers. Wireless carriers are not liable for delayed or undelivered messages.

​

Information sharing

Lindamood does not sell, rent or share Program information with third parties for marketing or promotional purposes. Information may be disclosed only in these limited cases:

  • Service providers: our SMS platform and messaging aggregators, solely to deliver messages on our behalf and under confidentiality obligations.

  • Internal personnel: I/T staff and managers who need it to run incident response and on-call operations.

  • Legal requirements: when required by law, subpoena or court order, or to protect the rights, property or safety of Lindamood, its employees or others.

  • Business transfers: in connection with a merger, acquisition or sale of assets, subject to this Policy.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Data retention and security

​

We keep contact and role information for as long as a participant is enrolled. Opt-in records and message logs are kept for at least four years after opt-out or separation to support compliance and audit needs, then deleted or anonymized.

Program data is protected with access controls limited to authorized I/T personnel, encryption in transit, and Lindamood's standard information security policies. No method of transmission or storage is completely secure, but we work to protect participant information against unauthorized access, use or disclosure.

Changes and contact

We may update this Policy from time to time. Changes take effect when posted, and the effective date above will be revised. Material changes will be communicated to enrolled participants.
